Access to More Superconference Archives Available

SirsiDynix is still hosting Superconference archives at http://www.superconference.info However, their policy is to maintain three years of presentations. Based on requests from Unicorn/Symphony users, UUGI is providing access to older available Superconference archives. Links to the archives are also available from the Customer Wiki in the Superconference archive article. Password information to access the archives is available on the Wiki, by contacting Client Care, or by emailing the UUGI webmaster.

UUGI Annouces Blogs to Discuss Merger, 2009 Conference, and RUGs & SIGs

UUGI launched blogs as vehicles to communicate with the membership on topics of interest. UUGI President, Carla Clark and CODI President Amy Terlaga have teamed up to create the CODI-UUGI Merger Blog. The Merger Blog will have the latest news about the merger process as well as solicit comments and suggestions from the membership of both organizations. Contact Carla Clark for more information.

Michael Bowden and Shawn Carraway of the UUGI Program Committee have put together the CODI/UUGI-UUGI/CODI Joint Conference 2009 Blog. Working in conjuction with the CODI Program Committee and the staff at SirsiDynix, the Joint Conference 2009 Blog will provide information and tips about the joint conference. Contact the Program Committee for more information.

Merry Bortz, UUGI Member at Large, will be administering UUGI RUG & SIG Info, a blog for and about Regional Users Groups and Special Interest Groups and to foster communication among the RUGs and SIGs. The RUG and SIG leaders have been offered Editor level accounts so that they may post information about their activities to the blog.

For each of these blogs, individuals need to self-register at each respective site in order to post comments.

Presenters Clearinghouse added to UUGI Website

In response to requests by RUG and SIG reprentatives, UUGI has established the Presenters Clearinghouse, a list of experienced presenters available to speak on SirsiDynix products. Executive Committee Report posted

Prior to Superconference, the UUGI Executive Committee had a meeting with SirsiDynix corporate representatives to discuss questions and concerns conveyed to the UUGI Executive Committee by UUGI members. UUGI Chair Carla Clark with assistance from other UUGI Executive Committee members has completed a summary report of the meeting as well as information that came out of the Ask SirsiDynix session on April 7, 2008. UUGI Seeks Nominees for Several Positions

The UUGI Nominating Committee seeks candidates for next year's UUGI Executive Committee.  Openings are anticipated for the following positions on the Executive Committee:

Volunteers are also needed for the Nominating Committee (1-3 committee members).

The following are brief descriptions of the roles and responsibilities of each position. For more information, please consult the organization's bylaws. especially Article 4 which begins on the third page of the bylaws.

Chairperson:  Serves as the Executive officer and supervisor of UUGI affairs.  Makes a report of the general business for UUGI at the annual meeting.  Serves as advisor to the new Chair for one-year.

Chairperson-Elect:  Succeeds the Chair.  Acts as liaison to the [Conference] Planning Committee.

Treasurer:  Responsible for collection, maintenance and reporting of UUGI finances.  Term is two-years.

Secretary:  Maintains the minutes of all membership and executive officer meetings.

Program Officers:  Responsible for recommending and coordinating UUGI programs for formal and informal meetings. Travel to site location for upcoming meetings.

Member-At-Large:  Liaison to UUGI Regional Users Groups and Special Interest Groups.

Nominating Committee:  Volunteer position.  Solicits call for nominations/election of new officers.

SirsiDynix Announces New Client Care Site

SirsiDynix announced a new client care site on 12/18/07. Unfortunately, the announcement sent to the SirsiTalk listservs was in a format unreadable by the listserv software SD recently implemented. Users are receiving individual email messages with new usernames and passwords for access to the new site.

Karen Eggert selected to serve as Member-At-Large

Karen Eggert of the Joint Bank / International Monetary Fund library has been selected to serve as Member-At-Large for the remainder of the current term. Karen was selected by the Executive Committee to fill the position following the resignation of Kristen Valyi-Hax.

Special Election Results Announced

The UUGI Executive Committee is pleased to announce that Carla Clark of Louisiana State University-Shreveport has been elected to fill the Chair-Elect position.

The Nominating Committee has submitted the following information regarding the election results.

1. The election closed on the 7th.

2. The Treasurer validated the votes. Shawn Carraway noticed one of the votes listed as being an invalid vote, which was incorrect, per the Membership pdf. The Treasurer, rechecked (again). Note: Update to Bylaws: The validation of voting should be performed by the Treasurer and verified by the Nominating Committee.

3. The election was a tie. There were 128 valid votes. Note: Issue needs to be resolved about sites that have more than one production license and should get two votes per the by-laws; however voting survey only allows single vote. Question: Do two production licenses require two membership id's, or is this an issue that needs to be reviewed?

The bylaws 4.2 state that if there is a ties, the winner will be decided by lot.

  4.2 Election The election of officers shall be by secret ballot at the appropriate annual meeting, or alternatively by an online ballot with safeguards that no institution may vote more than once. If balloting will be held at the annual meeting, signed ballots from members not attending the meeting must be delivered to an officer or member of the Nominating Committee prior to the annual meeting. The person receiving the highest number of votes for an office shall hold the office for the ensuing term. In the case of a tie, the winner will be decided by lot.

4. Mark, Shawn and I decided to ask the candidates to select a number between 1 and 10. Shawn used a computer program to generate a random number, as witnessed by two staff members at her library. I emailed each candidate and have a record of their number selection.

5. The first request for a number was also a tie. Both candidates selected the number 8. I contacted Shawn via phone to discuss options, and we decided to ask them to select a number again.

6. On the 2nd request, the number selected by Carla was 3 and the number selected by David was 4. The randomly generated number was 1. Thereby, the winner is Carla. This information was sent to Shawn and Mark for review.

7. We can announce a winner on the UUGI website if the Executive Committee is OK with the process.

Follow-up : We need to update the bylaws to avoid a future circumstance of a special election &/or document procedures for how to proceed during a special election.

Volunteer Positions Available

Volunteer positions are available at UUGI. Positions include co-webmaster, local arrangements volunteers in the Detroit area and bylaws committee members.

If you are interested in helping with the UUGI webpage and UUGI Executive Committee procedures wiki, contact webmaster@uugi.org Recommended skills include experience with HTML, Dreamweaver, and remote webhosts.

A special call goes out to volunteers from law libraries and those with parlimentarian experience to serve on the Bylaws Review committee. UUGI also welcomes other interested members to volunteer for the committee. Contact secretary@uugi.org to volunteer.

Leadership Changes in UUGI Executive Committee / Special Election Planned

The UUGI Executive Committee would like to announce that Mark J. Andrews will be serving as Chair of Unicorn Users Group International effective immediately. Andrews, Systems Librarian for Creighton University, Omaha, Nebraska, moves into the role following Holly Gordon's resignation from the UUGI Executive Committee citing changes in responsibilities for her departure.

In the process of filling the Chair and Chair-Elect positions, the UUGI Executive Committee has discovered flaws in the UUGI Bylaws. Because it is early in the UUGI year, rather than attempt to decide which bylaws to follow and which to ignore, the Executive Committee will hold a special election for the position of Chair-Elect.

We invite UUGI members to read the Bylaws, especially section 4.4. In brief, the Executive Committee prefers to ask the membership to resolve the conflict in the Bylaws between experience and the runner up in the last election.

The Executive Committee is currently drawing up a list of eligible and willing past officers. If you should be on that list, please contact Coleen Neary, Nominating Committee Chair, at Coleen.Neary@rich.frb.org, as soon as possible.

After the Executive Committee has a list of past officers who are willing to serve, we will hold a special election for the Chair-Elect position. The slate will include past and current officers who are willing to run and David Bavousett, who was the runner-up in the last election for Chair-Elect. The Chair-Elect will serve the remainder of the term, and become Chair at the UUGI meeting next April. We hope to have a new Chair-Elect by the end of this month.

Vote for UUGI Executive Committee Members 1/9/07 - 2/18/07

Votes are now being cast for Unicorn Users Group International Executive Committee Members. Voting will close on February 18th @11:59 p.m. Eastern Time. The results will be announced at the UUGI business meeting held at the SirsiDynix SuperConference on Monday, February 19th.

Voting is limited to UUGI members only and votes should be cast by the designated voter for each institution or consortium. If you are unsure of the status of membership, please contact David Slater, UUGI treasurer or check the current member institution list. If you want to become a member, please visit the UUGI site for membership information, it is not too late to become a member!

Voters will need to enter their site code (not the Client Care code) to authorize their vote. In most cases this is a 4-letter code, although it may be longer or shorter for some sites. Your system administrator will know this code if you can't remember it.

Remember that one ballot is allowed per Unicorn production system contract. Multi-site consortia, in most cases, are thus entitled to a single ballot.

UUGI & SirsiDynix Announce Customer Collaboration Documentation Wiki

Unicorn Users Group International and SirsiDynix are very excited to announce the availability of the SirsiDynix Customer Wiki!

This Wiki is a place for all SirsiDynix customers to share policies, procedures, guidelines, FAQs or any other information that may be useful to other SirsiDynix sites. You will find, for instance, that much of the content from the System Admin FAQ is now distributed within this wiki.

This Wiki will be moderated by Mack Lundy and Kurt Hadeler, but all SirsiDynix customers are strongly encouraged to contribute to the Wiki. The more information this site contains, the more beneficial it will be to all sites. Right now the Wiki mostly contains information put there by system administrators--we need folks to add content for all modules! You must create an account and login to create new pages, or edit existing pages and this login will not be the same as the login you use to access the Client Care web pages.

There is a link to this Wiki from the Client Care page in the lower third of the left navigation column.

Please be sure to read the Main Page of the Wiki, as this will give you information about the scope, organization of the Wiki and how to add to it.

SuperConference 2007 Early Registration & UUGI Preconference Registration Coming Nov 1

Early Registration for the 2007 SirsiDynix Users SuperConference at the Broadmoor Resort will begin November 1. Registration for the UUGI preconference workshops [scroll down to "Conference Extras" section] open the same day and will be restricted to staff from UUGI members. If you plan on attending the 2007 SuperConference and want the UUGI member discount or want to attend one of the UUGI preconferences, be sure to submit your membership application soon. SuperConference 2007 Call for Presenters and Programs

The SirsiDynix SuperConference 2007 will be held February 18-21, 2007, at The Broadmoor Hotel and Convention Center in Colorado Springs, Colorado. The Unicorn Users Group International (UUGI) is now requesting proposals for user presentations.

Submit proposals by email to uugi2007@hepl.lib.in.us. The deadline for submission of proposals is Friday, September 1 (Extended Through 10/13). Proposals must include the following information:

2007 Superconference

The UUGI Executive Committee will be meeting with SirsiDynix representatives and Pia Jones of ICM – Meetings/Events/ Conferences, the 2007 Conference Planner, in Colorado Springs the week of July 31 to make final conference plans. Soon the Program Officers will be requesting proposals for presentations, and conference registration will be available in the fall. Staff from dues paying members of UUGI will be eligible for discounted conference registration including staff from libraries that are members of consortium. The Executive Committee is sensitive to the comments submitted both in the 2006 planning survey and 2006 conference evaluations of the need for quality programs presented by users of the Unicorn product line and that will continue to be the focus of the Program Officers. The UUGI Executive Committee also plans to offer 1-2 preconferences conducted by Unicorn Users similar to the Oracle program conducted by Stephen Lucchetti at the 2006 Superconference in Nashville. Carla Clark, one of the 2006 Superconference Program Officers, will be coordinating the pre-conference planning. We’ll be posting more information about our 2007 Superconference planning activities as they are available.

2008 Conference Plans – Start Planning Now!

Our new conference planner, Pia Jones, Tom Gates from SirsiDynix and I (Holly Gordon) attended the site visit to Detroit, and I think you will be very impressed with both:

--and the city of Detroit http://visitdetroit.com

The conference center is in the same complex as the hotel, and is very easy to navigate. I tried to get lost and never was. Information on discounted conference hotel rates plus discounted airfare deals will be available when we get closer to 2008, and our new conference planner is doing a great job of keeping the Superconference affordable.

I hadn't been to Detroit in 20 years--Detroit has really changed! There is a beautiful river walk, a "People Mover" to get you around downtown, and many great places to visit close by.

2009 Joint UUGI/CODI Users Group Conference

The UUGI Executive Committee has begun to work with the CODI (Customers of Dynix, Inc.) Board in planning the 2009 Joint Users Groups Conference. Both groups will be working with Pia Jones of ICM to select the site and coordinate activities. This will be the first Unicorn Users Group conference since 2002 that UUGI will be doing all the conference planning. The plan for the joint conference is to conduct 2 separate program tracks within the conference for product specific presentations with overlap programs for products offered by SirsiDynix that are not ILS specific. Every attempt will be made to ensure that the size of the conference does not prevent networking between those in attendance. Pia will be working with the joint conference planning committee to select a suitable location that can accommodate both groups within a single facility. Tentative plans are to have the conference held in southeastern United States. There has been considerable negotiation between CODI and UUGI regarding financing and dates. Both groups have made concessions in the negotiations and the UUGI Executive Committee has agreed that the joint conference will be held in the fall of 2009, probably in October. Because this will mean a gap of 18 months between the UUGI 2008 conference and the 2009 joint conference, SirsiDynix and the UUGI Executive Committee have committed to working closely with regional users groups to provide adequate SirsiDynix representation at their programs to make up for the time lag.

We know that this is another big change for Unicorn customers coming on the heels of the formation of the Unicorn/DRA Superconferences but we feel that there is value in having a joint conference of the two main product lines being supported by SirsiDynix and that by fall of 2009 there will be greater overlap between those two product lines. It is also our feeling that regaining control of the planning and costs of the Users Group conference will benefit attendees. Jack Drost and I attended the CODI conference in Minneapolis held in 2005 and we were both impressed with the cost of the registration and organization of the program. With almost 3 years to plan, I am confident that this will be a “can’t miss” event.

Jack Drost Resigns from UUGI Executive Committee

It is with great regret that we announce the resignation of Jack Drost from the UUGI Executive Committee. Jack found that expanding responsibilities in his position at the University of Alabama-Huntsville made it impossible for him to find time to keep up with his responsibilities as Past-Chair and liaison with CODI. In light of his recent resignation, the Executive Committee will be appointing a new liaison to CODI. Jack has been a valued member of the UUGI Executive Committee over the past 2 years and his past activities as an active member of UUGI added greatly to the success of the organization. He deserves a big thank you from all Unicorn customers for his hard work and dedication.

By-Laws Revisions

The UUGI Executive Committee has formed a small committee to review and update the UUGI by-laws. One of the major changes is to add another position to the Executive Committee responsible for serving as liaison between the Executive Committee and Special Interest Group and Regional Users Groups. This year only dues paying members of UUGI will be eligible to vote so be sure to submit your membership applications soon.
